IlandFlow (“IlandFlow”, “we”, “us”, or “our”) provides a digital logistics and movement management platform that connects businesses, transport operators, drivers, dispatchers, customers and other authorised users.

This Privacy Policy explains how information is collected, used, stored and shared when you access or use IlandFlow.

1. INFORMATION WE COLLECT

Depending on how you use IlandFlow, we may collect:

Account Information

Name, email address, telephone number, organisation or business name, account role, login information and other information required to create and manage an account.

Business and Operational Information

Information relating to organisations, drivers, vehicles, movements, pickups, deliveries, routes, customers, recipients, dispatch operations, returns, cash-on-delivery records, incidents and other logistics activity entered into or generated through IlandFlow.

Location Information

When location-enabled features are used and permission is granted, IlandFlow may collect GPS coordinates and other location information necessary to support live tracking, navigation, dispatch, pickup, delivery and movement visibility.

Location availability may depend on your device, browser, permissions, network connection and operating system.

Proof and Evidence

IlandFlow may process photographs, signatures, timestamps, delivery confirmations, pickup confirmations, notes, codes, incident evidence and other records submitted as proof of movement or service completion.

Device and Technical Information

We may collect information such as browser type, device type, IP address, operating system, application activity, error information, security events and technical logs.

Payment and Commercial Information

Where subscription, payment or commercial features are used, we may process information relating to plans, transaction status, payment references, invoices and subscription status.

Payment card or account information processed directly by an external payment provider may be handled by that provider under its own privacy and security policies.

2. HOW WE USE INFORMATION

We may use information to:

  • provide and operate IlandFlow;
  • create and manage accounts;
  • manage logistics movements and workflows;
  • connect authorised businesses, drivers, dispatchers and other participants;
  • provide tracking, routing and location-enabled functionality;
  • maintain pickup and delivery records;
  • process proof, COD and return information;
  • send operational and account notifications;
  • provide customer support;
  • administer subscriptions and trials;
  • detect misuse, fraud and security threats;
  • maintain platform reliability and security;
  • troubleshoot technical problems;
  • analyse and improve platform performance;
  • develop and improve IlandFlow features;
  • comply with applicable legal and regulatory obligations.

3. LOCATION AND LIVE TRACKING

Location information is used only where required for location-enabled IlandFlow functionality and where the relevant device or browser provides access.

For drivers and other authorised users, location information may be shared with the relevant organisation, dispatcher, customer, recipient or authorised operational user when necessary to provide movement tracking and logistics visibility.

IlandFlow does not guarantee uninterrupted location tracking. GPS accuracy and availability can be affected by device settings, browser behaviour, network conditions, signal availability and operating-system restrictions.

Users can control location permissions through their device or browser settings. Certain platform functionality may be limited when location access is unavailable or disabled.

4. HOW INFORMATION MAY BE SHARED

Information may be shared with other authorised IlandFlow participants when necessary to perform a movement or provide platform functionality.

For example, relevant information may be visible to:

  • the organisation responsible for a movement;
  • authorised business personnel;
  • assigned drivers;
  • dispatchers;
  • transport partners;
  • customers or recipients;
  • authorised IlandFlow administrators.

We may also use trusted technology and infrastructure providers that process information on our behalf to provide services such as hosting, mapping, communications, payments, analytics and platform infrastructure.

We do not sell users' personal information to advertisers.

5. ORGANISATION DATA

Businesses and organisations using IlandFlow may enter information relating to their personnel, customers, recipients, drivers, vehicles and logistics operations.

Organisations are responsible for ensuring they have appropriate authority to enter, process and use information they provide through IlandFlow.

Access to organisation information is restricted according to platform roles, permissions and security controls.

6. DATA SECURITY

IlandFlow uses technical and organisational safeguards designed to protect information from unauthorised access, disclosure, alteration or destruction.

These may include authentication, role-based permissions, organisation-level data separation, access controls, audit mechanisms and protected server-side operations.

No internet-connected system can guarantee absolute security. Users are responsible for maintaining the confidentiality of their account credentials and for promptly reporting suspected unauthorised access.

7. DATA RETENTION

Information may be retained for as long as reasonably necessary to:

  • provide IlandFlow services;
  • maintain operational and movement records;
  • support legitimate business requirements;
  • resolve disputes;
  • maintain security and audit records;
  • comply with applicable legal, accounting or regulatory obligations.

Different categories of information may have different retention periods.

8. TRIALS AND SUBSCRIPTIONS

IlandFlow may offer promotional or free trials.

Trial participation may create records relating to eligibility, activation, expiration and conversion.

Unless explicitly stated otherwise when a user authorises a transaction, participation in a free trial does not itself authorise IlandFlow to charge the user automatically.

9. THIRD-PARTY SERVICES

IlandFlow may integrate with third-party services for functionality such as maps, payments, communications, infrastructure and other operational capabilities.

Those providers may process information according to their own terms and privacy policies.

IlandFlow is not responsible for the independent privacy practices of third-party services.

10. USER CHOICES AND RIGHTS

Depending on applicable law and the circumstances, users may be entitled to request access to, correction of or other appropriate action regarding personal information associated with them.

Some operational, financial, security or legal records may need to be retained even after an account is closed or information is otherwise removed from active use.

Requests may be subject to appropriate identity verification.

11. CHILDREN

IlandFlow is designed for legitimate business, logistics and transportation use and is not intended for children to independently create business or driver accounts.

12. CHANGES TO THIS POLICY

We may update this Privacy Policy as IlandFlow develops, legal requirements change or platform functionality evolves.

Material changes may be communicated through IlandFlow or other appropriate channels. The effective date displayed at the top of this policy identifies the current version.
